Refund & Cancellation Policy
Effective Date: August 28, 2026. Clear guidelines for workshop cancellations, seat deposit refunds, and session rescheduling.
1. Principles of Tuition & Capacity Limits
Because all in-person cohort programs and laboratory workshops at DataTrail Base Academy are strictly limited to 12 participants to maintain high-touch mentoring and individual chart grading, late cancellations directly affect studio capacity. Our refund and cancellation policies balance student flexibility with the operational commitments of our teaching faculty.
2. 4-Week Flagship Cohort Cancellations
- More than 14 Days Before Course Start: 100% full refund of all tuition and seat deposits paid.
- Between 7 and 14 Days Before Course Start: 80% refund of tuition (the 20% seat deposit is retained to cover administrative reservations, or may be credited toward a future cohort within 6 months).
- Less than 7 Days Before Course Start: 50% tuition refund, or 100% tuition transfer to the subsequent scheduled cohort.
- After Course Commences (Week 1 Onward): Once classroom instruction or live lab sessions have begun, tuition is non-refundable. Students experiencing documented medical or personal emergencies may request a deferral to a later cohort date upon administrative approval.
3. Private 1-on-1 Chart Diagnostic Sessions
- Rescheduling: You may reschedule your 90-minute private consultation without penalty if notice is provided at least 48 hours prior to the appointment.
- Cancellation with 48+ Hours Notice: 100% refund of the consultation fee.
- Late Cancellation (< 48 Hours) or No-Show: A ₩50,000 KRW preparation fee is retained (as the instructor has already conducted prior chart analysis of your trade logs), and the remaining balance is refunded.
4. Weekend Workshops & 1-Day Clinics
- Full refund available up to 7 calendar days before the workshop date.
- Cancellations within 7 days are eligible for a 70% refund or full ticket transfer to another named colleague/participant.
5. Non-Refundable Items
The following specific items are non-refundable once issued:
- Physical 180-page DataTrail Technical Workbooks once unsealed or collected in person (a ₩45,000 KRW material deduction applies if course is cancelled after book distribution).
- Completed 1-on-1 diagnostic sessions where the live meeting and written strategy audit report have been fully delivered.
6. Refund Processing Time & Payment Method
Approved refunds are credited using the original method of payment:
- Bank Transfers (KRW): Processed within 3 to 5 business days following formal approval.
- Credit/Debit Cards & International Transfers: Processed within 5 to 10 business days, subject to your card issuer's billing cycle.
7. How to Request a Cancellation or Refund
All refund and rescheduling requests must be submitted in writing by emailing info@datatrailbase.click with the subject line "Refund/Reschedule Request - [Your Full Name]". Please include:
- Your full name and contact phone number.
- Program or session name and registered start date.
- Reason for cancellation or requested alternate cohort date.
